Privacy notice

Review: Draft for client and legal review. Nothing on this page is final until the flagged points below are signed off.

This notice explains what personal data Simporter Ltd collects, why we collect it and what rights you have. We follow the UK GDPR and the Data Protection Act 2018.

Who we are

Simporter Ltd is the controller of your personal data. Our address is 71-75 Shelton Street, Covent Garden, London WC2H 9JQ, United Kingdom.

For privacy questions, email [email protected] or call 07417 393219.

Review: Confirm whether Simporter has paid the ICO data protection fee and add the registration number to this section.

What we collect

When you send a quote request

Your name or business name, your work email and whatever you write about the goods. We use this to reply to you.

When you become a client

Contact details for the people we deal with, and the details needed to place and deliver your orders. That includes names on quotes and invoices, and delivery contacts.

When you visit the website

Our hosting provider keeps standard server logs, such as IP address, browser type and the pages requested. These help us keep the site secure. The site sets no cookies of its own and runs no advertising trackers.

The fonts on this site load from Google Fonts. Your browser therefore sends your IP address to Google when a page loads.

Review: Confirm the host's log retention period. Consider self-hosting the fonts, which would remove the Google Fonts request entirely.

Why we use it, and our lawful basis

  • Replying to an enquiry: our legitimate interest in answering people who contact us.
  • Quoting for and running your orders: performing our contract with you, or taking steps you asked for before one.
  • Accounting and tax records: a legal obligation. HMRC requires business records to be kept for set periods.

Who we share it with

To source and deliver your orders, we share the details needed with the people involved. That can include suppliers, our delivery and customs partners, and HMRC where the law requires. We do not sell personal data.

Some of these parties are outside the UK, including in China, Hong Kong and the UAE. Where data leaves the UK, we use the safeguards UK law requires.

Review: List the specific safeguard used for transfers (for example the UK International Data Transfer Agreement) and name any software providers that process data for Simporter, such as email or CRM.

How long we keep it

Enquiries that do not lead to work are deleted once we no longer need them. Order, accounting and tax records are kept for as long as HMRC requires, then deleted.

Review: Set retention periods with the client's accountant. Accounting and VAT records have statutory minimum periods.

Your rights

You can ask for a copy of your data, ask us to correct it, or ask us to delete it. You can also object to how we use it, ask us to restrict its use, or ask for a portable copy. Email us and we will respond within one month.

You can complain to the Information Commissioner's Office at ico.org.uk. We would like the chance to put things right first.
